Configure mappings and data sync

Map source values to Lexful, choose which customers and records sync, and review sync results.

How the pieces fit together

Connections collect data from your tools. Mapping translates each integration's source values into shared Lexful values. Data sync controls which collected records are brought into Lexful.

Connect your tool first using Connect and manage integrations. Allow its initial collection to finish before reviewing mappings and filters.

Map your source values

  1. Open Platform → Integrations and select a card under Connected.

  2. Select Mapping.

  3. Choose a source table from the left, such as Customer Type, Device Type, or Tenant Location. The available tables depend on the integration.

  4. Review each Source Value and choose its destination under Maps To.

  5. Use Unmapped to find values needing attention, Mapped to review completed mappings, or All to see both.

  6. Click Save after changing a table. Repeat for the other tables.

The heading identifies the source table and shows its mapped-value count and last sync time. Mapping choices affect which values are available to the downstream sync filters. Review unmapped values when expected customers or assets are missing.

If mappings are still being prepared, wait for the initial source sync to complete. If Lexful asks you to review or verify mappings, complete that review and save before configuring filters.

Open Data sync

Open your account's Data sync page and click Configure sync. If your navigation does not show a Data sync link, keep your account's domain and open /platform/integrations/data-sync in the address bar.

The wizard walks through Primary Org, Customer, the available record types such as Contact and Device, and Summary.

Select and save your primary organization

Choose the incoming organization that represents your own company, then click Save before continuing with Next.

This connects the source system's version of your company to the primary organization in Lexful. For example, if your company is “Example MSP” in Lexful and “Example MSP Inc.” in your PSA, select “Example MSP Inc.” from the incoming organizations.

Configure sync begins with selecting and saving a primary organization.

Selecting a value alone does not save it. The wizard requires a saved primary organization before you can continue.

Choose customers to sync

On Customer, use search and the type/status filters to find the organizations you need.

  • Use Will sync to enable or disable a customer individually.

  • Select rows with their checkboxes, then use Enable sync or Disable sync in the bulk action bar. Selecting a checkbox alone is not the same as enabling sync.

  • The header checkbox selects the current page. Select all … customers matching this filter is a separate action covering the full filtered result; review its confirmation before applying it.

  • The primary organization always syncs and cannot be disabled here.

Customer sync changes are applied from these controls; they do not wait for the final Summary step.

Choose contact, device, and other record values

Continue through each available record-type step. Expand the sections and select the values you want included.

These are shared Lexful values assembled from your connected integrations. Unchecked values are excluded from future sync into Lexful; collection from the provider continues. Do not use these filters as a way to delete existing records.

Changes on these record-type steps save when you move to another step or close the wizard. Wait for the save to succeed. If a save fails, stay on the step, resolve the error, and retry. Closing the wizard is not a discard action for these changes.

If Lexful reports that filter options are outdated, check the connection and refresh before relying on the available values. If mappings need review, return to the integration's Mapping tab first.

Review and run a sync

Review Summary and click Done. This closes the wizard; it does not replace the saves and customer actions performed earlier.

Back on Data sync, use Sync now when you need to request a manual sync. Review the run history and phase results on that page. To investigate collection from a particular provider or table, open that connection's Sync logs tab and filter by table or status.

Why a record may not appear

Check these in order:

  1. The provider connection is working and the relevant source table has collected successfully.

  2. The source values have the intended mappings, and mapping changes were saved.

  3. The correct primary organization is saved.

  4. The customer is enabled for sync.

  5. The record's mapped values are included in the relevant record-type filters.

  6. A subsequent data sync has completed successfully.

When contacting support, include the provider, source table, approximate run time, and the visible error. Remove API keys, secrets, tokens, and sensitive customer details from screenshots.
