Create and manage organizations

Use organizations to keep each client's documents and assets together and work in the correct client context.

Open the organization list

Choose Organizations in Docs. Search by name and use the available status, type, tag and license filters to narrow the list. You only see organizations your account and permissions allow.

Select an organization to open its drawer. Overview brings together its client note, documentation and recent activity. Details, Attachments and History provide the other available views.

Create an organization

Admins with organization-management permission can create organizations.

  1. Open Organizations and choose New.

  2. Enter Organization name and a URL-friendly Organization Slug.

  3. Select Organization Type and Organization Status.

  4. Choose Create organization.

  5. Check its license status before creating or editing documentation.

For example, use Cedar Grove Design, slug cedar-grove-design, type Customer, and status Active.

Creating an organization and enabling its documentation license are separate actions. An active organization can still be unlicensed.

Enable documentation

Open the organization's license-status control. If available, choose Enable license, review the affected organization and confirm Enable. Available licenses and account rules determine whether the operation can complete.

Use the organization's current license state when diagnosing missing edit controls. Read-only or disabled documentation is different from an inactive organization status.

Work in the right context

Use the organization selector to choose a client, or All organizations for cross-client work within your permitted scope. Check the current context before creating a record, searching or using Ask Lex.

When creating a record from an all-organizations view, choose its owning organization explicitly. A record's organization determines where it belongs; tags and folders provide additional organization within that scope.

Maintain the organization

Open the organization drawer to review its details and client note. Use the available field-edit controls and save actions, then check the result. Changes to a client note are separate from changes to documents linked to that client.

Use a stable, recognizable name and slug. After a slug change, navigate through the organization selector and update affected bookmarks. Organization URLs and account subdomains are different concepts.

Troubleshooting

  • The organization is missing: check your scope and the list's search and filters.

  • Documentation cannot be edited: check role permissions and license state.

  • The organization has no documents: confirm the selected context and whether records were created under another organization.

  • Recent activity fails to load: retry it separately; an activity-service error does not by itself mean the organization's records were lost.
