Find records and navigate your workspace

Use Find for a targeted lookup, asset lists for browsing, and Ask Lex when you need help working with the information.

Search for a record

Open Assets and type in Search assets, or use the header search control. Start with a recognizable word from the record's name.

Use the visible filter controls to narrow the search:

  • Organization: choose a client explicitly.

  • Asset type: choose the kind of record.

  • Documents or Passwords: quickly focus on a frequently used type.

  • Shortcuts: choose an available search mode.

Typing a filter prefix presents choices; select the intended choice to apply a filter. Plain text is not silently converted into an organization or asset-type restriction.

Use shortcuts

Type @ to choose an organization, # to choose an asset type, or / to see available shortcuts. For documents, typing /docs offers the Documents choice. Select it before entering the rest of your search.

The available shortcuts depend on your account and permissions. Remove a filter chip to broaden the search again.

Check the search scope

An explicit organization filter determines the search scope. Otherwise, the search can inherit its page's organization context. With neither, it searches accessible organizations.

A search field inside a particular asset list narrows that list. Search results still respect your permissions; “all organizations” never means unrestricted access to other accounts or private records.

Open the result

Select a document or ordinary asset result to open its record drawer. Password results can use a quick card with their own reveal controls. Use the drawer's expand control when you need more room.

Follow linked records and use the available navigation controls to return. Before editing, check the record name and owning organization.

Continue with Ask Lex

Use the search area's Ask Lex action to continue from the current query. Review the organization and type filters first; the handoff can include this scope.

Lex's response is a separate step from finding or saving a record. Check the cited records and verify important information before acting on it.

Troubleshooting

  • Remove unintended chips or list filters.

  • Check whether you are working in one organization or across accessible organizations.

  • Try a distinctive word from the record's name.

  • Ask an administrator to review scope or record grants if someone else can see the record and you cannot.
