Make bulk changes to assets

Grant access, manage tags, archive or restore selected records, and review other bulk actions.

Select the records

Open a specific asset type, such as Documents, and narrow the list using search, organization and filters. Select the checkboxes beside the records you want to change.

The action bar shows the selected count. Check that count before continuing. Select all rows on this page selects that page, not every matching record across other pages. A folder's total count is not the number selected.

Actions depend on your permissions and the selected records. Admin and Support users can perform the actions their role allows within their accessible scope. A selection containing records in read-only organizations prevents editing actions; narrow the selection to writable records.

Grant access to several records

  1. Select the records and choose Manage access.

  2. Select the Users and/or Groups to add.

  3. Check the asset count in the dialog title.

  4. Select Grant access and wait for completion.

This action adds direct read grants to the selected records. It does not replace all existing grants, remove people you leave unselected, change their roles, or grant access outside their permitted organization and asset-type scope. The action also includes your own user in the grants.

Adding grants to a record that inherits access changes its visibility to Restricted. This can affect people who previously reached an otherwise unrestricted record. Review the resulting access on a small selection before applying the action broadly; it is not always a change that only adds visibility.

To remove a specific record grant or review private access, open the record's access settings. See Understand record, folder and tag access for the interaction with folders, tags and other access paths.

Apply or remove tags

Choose Manage tags → Apply tags or Remove tags, select the tags, and review the confirmation before applying it.

Applying tags adds memberships; removing tags removes those memberships. Because folders are built from tags, these changes can alter where records appear and the access they inherit. Review restricted destinations before applying a tag to many records.

In folder view, Organize provides filing actions for selected records. Folder Move to folder changes folder membership; the Move action described below moves records between organizations.

Archive records

Choose More actions → Archive, review the count, and confirm Archive assets. Archived records leave active views and can be restored later. The archive count includes active records in your selection.

For archive and restore, work in batches of up to 100 records. Check completion and the refreshed list before starting the next batch.

Restore archived records

Open Filters and enable Include archived. Select the archived records, choose More actions → Restore, review the count, and confirm Restore assets. Restored records return to active views, subject to normal access rules.

Move or duplicate records

Where available, choose More actions → Move or Duplicate, select the Destination organization, and confirm the action. Move relocates records to another organization; Duplicate creates copies in the chosen organization.

These operations run as jobs. Wait for the completion notification and check the result, including any failed-item count. Starting a job is not confirmation that every record was changed.

If Delete is available for an archived selection, it permanently deletes the selected records and associated data. It is different from Archive and cannot be undone. Read the confirmation carefully.

If a bulk action fails

Read the error and refresh the list to check which records changed before retrying. A failed bulk request or job can leave some records changed and others unchanged. Confirm your role, record access and organization state, then retry only the remaining work.
