Personalize asset lists and folder views

Use Display and filters to make a document or asset list easier to work with. These controls change your view, not the underlying records or their access rules.

Open Display

Open an asset type such as Documents, then choose Display near the top of the list.

Choose List or Folders

Display → View offers List and Folders. Folder view uses your tag hierarchy. Enable Show empty folders when you want to browse folders that currently contain no matching records.

If Folders is missing, check tag-view permission and the asset type's Enable folder view setting.

Group a list

In List view, choose a Grouping option:

  • None: a flat list.

  • Organization: available when browsing all organizations.

  • Tag: group using the configured tag hierarchy.

Grouping is different from folder browsing. Choose the view that matches the task rather than reorganizing the underlying tags just to change the display.

Choose columns

Use the Columns section to find and show or hide fields. Use its move controls to adjust the column order. Keep the fields you need most visible and hide less useful columns when screen space is limited.

Your view choices are stored in the browser. Another browser or cleared site data may use different/default settings. These choices do not change another user's record access.

Admins configure asset-type defaults in Settings → Asset types. An individual user's display customization is separate from those shared defaults.

Filter the records

Use the search field and available organization, tag and Filters controls. Check active filters when expected records are missing.

To find archived records, open Filters and turn on Include archived. Archived records remain separate from active records and cannot be edited until restored.

Ordinary folder counts describe accessible records across that folder and its descendants, independent of the current text search and filters. Unfiled represents records without tags and its count reflects the current search and filters.

Bulk selection

Read the selection label before applying a bulk action. Selecting a page of records does not select every record on other pages. Review the selected count and the operation's result, including any failures.
