Configure monitoring
As an Admin, open Settings → Monitoring. Set Warn … days ahead to the lead time your team needs. The default is 30 days; the warning window accepts whole numbers from 0 to 3650.
Domains · Expires At is a default monitored property and cannot be removed. Add other date fields as needed:
Select Monitor another date field.
Choose the Asset type and Property. Only Date and Date & Time fields appear.
Select Done to finish that row.
Add any other fields, then select Save to apply the configuration.
Done only closes the row editor; it does not save the monitor. Use Cancel to discard pending configuration changes. Wait for the “Monitor saved” confirmation after saving.
Select an existing custom property row to edit it, or its remove control to stop monitoring that field. Save afterward. Removing a monitored field removes its expiration results; it does not delete records or clear their dates. A record may still appear for another monitored field.
If No monitor configured appears, contact Lexful Support. The account's expiry monitor is provisioned automatically.
Set a document's expiry date
Open the document and use Set expiry in its header, or select the existing expiry date. Choose the date and save the document's changes. This requires permission to edit the record in a writable organization.
To include document expiry in the central list, add the Documents Expires On field under Settings → Monitoring. Setting a date on a record and choosing to monitor that field are separate steps.
Open Expirations
Choose Expirations in the sidebar. In All organizations, it covers records you can access across organizations. In an individual organization, it stays scoped to that organization.
The summary shows counts for:
Expired: the monitored date has passed.
Expiring soon: the date falls within the configured warning window.
Upcoming: the date is beyond that warning window.
The list contains monitored date results. One asset can have more than one result if multiple monitored fields are populated, so these counts are not necessarily unique asset counts.
Search, filter and arrange the list
Use Search expirations, the asset-type filter and the status filter together. In the all-organizations view, you can also filter organizations.
Open Display to choose columns and grouping: None, Asset type, or Organization when viewing all organizations. Use the expand/collapse control for grouped results. Select a sortable column heading to change the order.
Each result identifies the asset, monitored property, date and status. Open the record to review it, update the date or take the appropriate renewal or review action. Save any record edits, then check the list again.
If a record is missing
Confirm that the correct field is monitored, the record has a valid date in that field, and the current organization, search and status filters include it. Check that you have access to the record and asset type. A blank date cannot produce an expiration result.
Monitoring surfaces dates for review; it does not renew an asset, archive a document or change its access when the date passes.
