Set up and manage asset types

Define the fields, layout and navigation for the records your team manages.

Open the asset type builder

Sign in as an Admin, open Settings → Asset types, and select a type in the left navigator. Use Find an asset type to narrow the list.

An asset type is the template for a kind of record, such as a document, password or network device. Changing a type changes its shared configuration for your account.

Create a custom asset type

  1. Select New Asset Type.

  2. Enter a Display name, such as “Network devices”, and a Description explaining what belongs in this type.

  3. Review the generated internal name. Use lowercase letters, numbers and underscores. Choose it carefully: the internal name cannot be changed after creation.

  4. Configure the initial field and add the other fields your team needs. Give each field a clear label and select its data type.

  5. Set the field that should identify each record to Use as record name. For example, use “Device name” for network equipment.

  6. Mark fields that must be completed with Required when creating.

  7. Select Create asset type. Your new type appears in the navigator.

Start with fields people will maintain consistently. For network devices, that could be Device name, IP address and Firmware version. You can extend the type later.

Configure fields and groups

Select a field or its type to open its settings. Choose a type that matches the information: text for a hostname, a number for a measurement, a date for a renewal, a reference for a link to another asset, or a secret for a sensitive value. Rich text, Boolean, date and time, integer, array and TOTP fields are also supported.

Some types have additional settings. Text and numeric fields can have allowed values. Reference fields let you choose a target asset type and whether multiple records are allowed. Review these settings before saving.

Use Add → Field for another field, or Add → Group to create a section. Assign fields using the Group selector, and use the drag handles to arrange them. Field groups organize the record form; they do not grant access to records.

Built-in fields on system asset types may be locked. You can still manage the custom fields and settings the builder makes available. Review existing records and integrations before removing fields or changing their meaning.

Set required fields and display defaults

After creating the type, select it in the navigator to configure its Overview and List defaults. These controls are on the saved type's field table, not the New asset type form. The field table separates three controls:

  • Req: the field is required when creating a record.

  • Overview: include the field in the record overview.

  • List: include the field in the type's default list columns.

These choices are independent. An optional field can appear in both Overview and List, while a required field does not have to appear in the overview. Controls are unavailable for field types that cannot be displayed in that location; secret and TOTP values are excluded from Overview.

List settings establish shared defaults. A person's own Display choices can customize their view, so their visible columns may differ from the defaults in the builder.

Organize types into categories

Select New Category in the navigator to create a category such as “Infrastructure”. Use the category selector beside an asset type's name to assign it. Types without a category appear under Uncategorized.

You can rename and reorder categories and move types between them. Categories organize navigation; they do not change record permissions. Removing a category leaves its types available under Uncategorized.

Enable folder view

Turn on Enable folder view for a type you want to organize through folders. Save the change, then open that type's records and use its folder view.

This setting controls the available view. It does not create folders, move existing records or change who can access them. Folder membership and access follow the tags and grants on each record.

The Passwords type also has Enable password reveal. When enabled, an eye control appears beside Copy; revealed passwords hide again after 30 seconds. This does not grant access to passwords a user cannot already view.

Use coverage to review completeness

Coverage shows how often each field is populated in the records you can access. Select a coverage value to open the matching records. A dash appears when there are no records to measure.

Use coverage to spot fields that need attention or are not being maintained. It reflects your accessible records, not necessarily every record in the account.

Save or discard changes

Select Save changes to apply your edits. Changes can remain staged while you visit other types, so review all pending edits before saving. Discard clears pending changes.

Wait for saving to finish. If an error appears, keep the builder open and resolve it before retrying. When saving multiple types and categories, some changes may succeed while others remain pending; review the message rather than assuming everything was saved or rolled back.

After saving, open a record of the type and check its fields and layout. You can also return to the builder to verify that the configuration was retained.

Archive and restore a custom type

Open Asset type actions and choose the archive action for a custom type you no longer use. Read the confirmation carefully: existing assets of an archived type are no longer accessible while the type is archived.

To bring it back, expand Archived in the navigator and use the type's restore action. Built-in system types cannot be archived through this action.
