Customize Navigation with Profiles

Set up team sidebars and default Assets lists, assign profiles to groups or users, and find other asset types.

Navigation profiles let admins tailor the sidebar and the default Assets list for different teams. Use them to give technicians quick access to infrastructure, help vCIOs focus on planning, or organize an account manager’s daily work.

Profiles change presentation only. They do not grant or remove access to organizations, records or actions.

Create a profile

  1. Open Settings → Navigation.

  2. Select New profile and give it a name.

  3. Configure Sidebar and Assets List, then select Save changes.

A new profile starts from the native app layout. Creating it does not assign it to anyone or make it the default.

The named profiles shown here are examples, not built-in presets. Personal details in the screenshots are redacted.

Arrange the Sidebar

Use Add sidebar item to add an asset type or an available product view. Create named groups and drag items or groups into the order you want. The Sidebar preview shows the resulting layout.

Assets, account switching, Settings and Help remain available. Sidebar groups are separate from the categories used on the Assets page.

Choose the default Assets List

The Assets List tab controls which asset types appear when someone opens Assets. It is independent of the Sidebar: adding Passwords to the sidebar does not add passwords to the default Assets list.

  • All asset types includes every available type, including new types added later. The picker is hidden.

  • Choose asset types shows a picker. Checked types appear under Selected, followed by unchecked types under Available. Both sections are alphabetical. New types stay outside this selected set until an admin adds them.

The Assets List preview shows the types included in the default view. Save changes when you are finished.

Assign profiles to groups

  1. Open Platform → Groups and edit a group.

  2. At the bottom of the drawer, choose a Navigation profile.

  3. Select Save. Changing the selector alone does not save the assignment.

Group edit: choose a Navigation profile, then save the drawer.

Set group priority

In Settings → Navigation, use the settings icon beside New profile to open Group priority. Put the highest-priority group first. Close the dialog with Done, then select Save changes on the page.

If someone belongs to more than one assigned group, the first matching group wins. Profiles are not merged.

Set an account default

Open a profile’s actions menu and select Set as default. The Default badge identifies it. This applies to people who have neither a personal assignment nor a matching group assignment.

Override one user

To override a user, open Platform → Users, edit the user and choose their Navigation profile at the bottom of the drawer. Select Save changes. Choose Automatic to remove the override.

User edit: an explicit profile overrides groups and the account default.

Which profile wins?

Lexful chooses one profile in this order:

  1. An explicit user assignment.

  2. The first matching group in Group priority.

  3. The account default.

  4. The native app navigation.

Select Remove as default to return unassigned users to native navigation while keeping the profile available. You can delete every profile; with no assignments or default, the app uses its native layout.

Find other asset types

On the Assets page, Profile view shows the curated list. Select All types to discover other asset types you are allowed to access, then switch back to Profile view when you are finished.

Your sidebar stays the same when you switch views. Search, New and permitted direct links continue to work independently of the profile’s visible types.

All types: other authorized asset types become visible without changing the sidebar.

Remove a profile

Choose Delete profile from its actions menu, then save the change. Assignments to that profile are cleared so affected users fall back through the normal priority order. Deleting a group removes its navigation priority rule.

All types with exclusions

A profile can also show All except excluded types. This includes available asset types except the exclusions saved in that profile. New types are included automatically unless excluded. It differs from Choose asset types, which keeps a fixed selected set.

These choices affect presentation only. They do not grant access, block permitted direct links, or change the scope of search and creation.
